How we keep your information safe

Last Updated: January 2024

Look, we get it - nobody actually likes reading these things. But since we're dealing with your personal info and project details, we figured it's worth being straight with you about how we handle everything. No corporate jargon, just the real deal.

What Info We Actually Collect

When you reach out to us or start a project, we're gonna need some basics. Nothing creepy, just the usual stuff:

  • • Your name and how to get in touch (email, phone - you know the drill)
  • • Property addresses if we're working on specific sites
  • • Project details and what you're looking to build or renovate
  • • Budget ranges because, honestly, it helps us serve you better
  • • Any technical specs or preferences you share with us

We also collect some technical stuff automatically when you visit our site - IP address, browser type, that kinda thing. It's standard website analytics so we can see what's working and what isn't.

How We Use Your Information

Here's the honest truth - we use your info to do our job and do it well:

For Your Projects:
Creating designs, getting permits, coordinating with contractors, keeping you updated on progress. The usual architectural domain stuff we're hired to do.

Communication:
Sending project updates, answering your questions, scheduling site visits. We're not gonna spam you with marketing emails unless you specifically ask for our newsletter.

Legal Stuff:
Sometimes we gotta share info with city planning departments, building inspectors, or other regulatory folks. It's part of the process when you're doing things by the book.

Improving Our Services:
We analyze project data (anonymized, of course) to get better at what we do. Learning from past projects makes future ones smoother.

Who Sees Your Data

We don't sell your information - period. That's not how we roll. But sometimes we need to share it with:

  • Engineering consultants on your project
  • Contractors you've approved
  • Municipal authorities (for permits and such)
  • Our cloud storage provider (they're bound by strict security agreements)

Your Rights

It's your data, and you've got control over it. You can:

  • Ask to see what we've got on file
  • Request corrections if something's wrong
  • Tell us to delete your info (after project completion)
  • Opt out of any marketing communications
  • Get a copy of your data in a readable format

Keeping Things Secure

We take security seriously 'cause your project details and personal info deserve protection. Here's what we do:

All our digital files are encrypted and stored on secure servers. We use password protection, two-factor authentication, and regular security updates. Physical documents are locked up when not in use. Only team members working on your project get access to your information.

That said, no system's perfect. We do our best, but we can't guarantee 100% security - nobody honestly can. If there's ever a breach, we'll let you know right away and tell you what happened.

Cookies and Website Tracking

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are small files that help our website work better and remember your preferences.

We use them for things like keeping you logged into our client portal, remembering language preferences, and understanding which pages people actually visit. You can disable cookies in your browser, but some features might not work as smoothly.

We also use Google Analytics to see how people interact with our site. It's anonymized data that helps us figure out if our website's actually useful or just looks pretty.

How Long We Keep Your Information

This varies depending on what it is:

Project Files: We keep these for at least 7 years after project completion. It's partly a legal requirement in Ontario, and partly because you might need to reference them later for renovations or property sales.

Contact Info: If you're an active client, we'll keep this as long as we're working together. If you've just inquired but didn't move forward, we'll keep it for about 2 years in case you change your mind.

Marketing Data: Only if you've opted in, and you can opt out anytime.

Third-Party Links

Sometimes we'll link to other websites - maybe a manufacturer's site or a sustainability resource. Once you click those links, you're on their turf and their privacy policies apply. We try to only link to reputable sites, but we can't control what they do with your data.

Children's Privacy

Our services aren't directed at kids under 16, and we don't knowingly collect their personal information. If you're a parent and think we might have info about your child, let us know and we'll delete it.

Changes to This Policy

Things change - laws get updated, we might add new services, technology evolves. When we update this policy, we'll post the new version here and update the date at the top.

If it's a major change that affects how we use your data, we'll shoot you an email to let you know. We're not gonna sneak anything past you.

Questions or Concerns?

If something in here doesn't make sense, or if you've got questions about how we handle your information, just reach out. We'd rather explain things clearly than have you wondering.
